Managing Virtual Meetings & Events

Module 1: Chairing Virtual Meetings

Business lives have changed virtually overnight due to Covid-19, from having co-located staff who can communicate face-to-face, to entire organisations operating remotely.

Some businesses have been running like this for years and have found that meetings do not need to take place face-to-face. For other organisations, this is unfamiliar territory.

In this course, you’ll learn what the key elements are of virtual meetings, and how they differ from meeting in-person. You’ll also learn about the technologies available, how to set up meetings, ensure everyone participates, and how to manage the meeting towards the objective you have for the session. You will leave with all the skills you need to set up your own virtual meeting and make it an engaging and productive event.

Course Objectives

The Course will:

  • Teach you the key elements of any meeting, and how these need to be adapted to a virtual platform
  • Show you the technology options available to you as you schedule your virtual meetings, as well as the most useful features of each
  • Help you to manage the personalities in a virtual meeting, even when you’re not face-to-face
  • Give you a real-life virtual meeting to take part in (or host) to put your new skills into practice.

Duration for “Bite Size” Session: 2 hours

Duration for Full Programme: 3 x 2 hours

Participant Group Size: 2 – 12

Module 2: Hosting Webinars

As the country moves out of lockdown, contact between teams, managers and team members remains reduced. Many organisations have turned to webinars to both keep team member contact going, and to enhance the relationships across the organisation by providing valuable information which can help others to get through uncertain business times.

Yet some organisations run webinars very, very badly, which can do more harm than good to a company’s image. In the Hosting Webinars Course, you’ll learn the ingredients of a successful webinar, including:

  • How to plan the content for an online audience
  • How to deliver the webinar, and to put follow-ups in place to get maximum value from the exercise

Course Objectives

The course will:

  • Clarify what makes a good and a bad webinar
  • Shine a spotlight on the technologies available to deliver your webinar
  • Help you create interest in your webinar before it starts
  • Allow you to plan your content to provide maximum engagement for an online audience
  • Deliver an engaging webinar
  • Put follow-up in place to ensure it has lasting impact.

Module 5: Delivering Engaging Virtual Training

Since March, the training world has undergone a massive shift–from the belief that face-to-face training is going to be here forever as the main delivery option, to the realisation that face-to-face is no longer possible, and that virtual training, if done correctly, can be just as engaging, and have better learning outcomes.

Yet many trainers, internal coaches, and team leaders are either playing catch-up, or using a “drag-and-drop” technique to move their traditional training online.

There’s some good news and some bad news here. The good news is that many of the techniques trainers and technical professionals have traditionally employed to engage learners are still valid in the virtual environment. The bad news is, that some of these need tweaking to make virtual training engaging.

In this virtual bite-size training course, you’ll not only learn, but take part in best-practice virtual training. Thinking about your own training, you’ll consider what changes you need to make to really bring out the best in your learners, and experience virtual training as a participant.

Attend the “Full Programme” to have the opportunity to take over as host, present material and get feedback from the trainer and other participants.

Course Objectives

This course will:

  • Show you how virtual training can be as good as, or better than, face-to-face
  • Help you to meet this standard in your own training
  • Guide you through the entire learning journey, from pre-course, to training delivery, to post-course reinforcement
  • Give you the skills and confidence to deliver an engaging training experience

Course Agenda

  • The key objective with engaging virtual training
  • Getting the basics right
  • Planning the learner journey
  • Delivering a virtual training course
  • Selling the idea of virtual training to customers and participants

Module 9: Minute Taking in a Virtual World

The realisation that meetings do not always need to take place face-to-face has created new freedoms and flexibilities for meeting organisers and attendees alike. But for the minute takers, this shift has created a whole new set of challenges and problems. Age-old best practice such as positioning yourself next to the Chair, using eye contact to get clarity on what’s been said, and being able to gently and unobtrusively ask for clarification on a point, has suddenly become ineffective.

The tough news for minute takers is that there are some new skills to learn in order to perform in this new world. The good news is that these skills are not hard, and a few changes in approach can make the difference between success and failure when taking minutes in virtual meetings.

As an experienced minute-taker, it’s vital to learn how virtual meetings impact the taking of minutes, so that you can be sure that the important records you’re keeping are accurate, appropriate, and fit for purpose.

Course Objectives

On this course you will:

  • Use the right technology in the right way to make your job as easy as possible.
  • Work with the Chair to get the participants to behave in a way which helps you.
  • Develop your self-confidence to interrupt where you need to as you create your notes or minutes.
  • Distribute the minutes effectively and receive sign-off on their accuracy, even when you’re working virtually.

Course Agenda

  • Planning for success: working with the Chair to create the right virtual environment.
  • The role of the minute-taker before, during and after the virtual meeting.
  • Creating minutes in a virtual environment.
  • Virtual minute taking practice.

Duration for “Bite Size” Session: 2 hours

Note: This course can also be run as a longer 2 x 3 hours programme for people who have never taken minutes before.
