Managing Virtual Meetings & Events

Module 1: Chairing Virtual Meetings

Business lives have changed virtually overnight due to Covid-19, from having co-located staff who can communicate face-to-face, to entire organisations operating remotely.

Some businesses have been running like this for years and have found that meetings do not need to take place face-to-face. For other organisations, this is unfamiliar territory.

In this course, you’ll learn what the key elements are of virtual meetings, and how they differ from meeting in-person. You’ll also learn about the technologies available, how to set up meetings, ensure everyone participates, and how to manage the meeting towards the objective you have for the session. You will leave with all the skills you need to set up your own virtual meeting and make it an engaging and productive event.

Course Objectives

The Course will:

  • Teach you the key elements of any meeting, and how these need to be adapted to a virtual platform
  • Show you the technology options available to you as you schedule your virtual meetings, as well as the most useful features of each
  • Help you to manage the personalities in a virtual meeting, even when you’re not face-to-face
  • Give you a real-life virtual meeting to take part in (or host) to put your new skills into practice.

Duration for “Bite Size” Session: 2 hours

Duration for Full Programme: 3 x 2 hours

Module 3: Minute Taking in a Virtual World

The realisation that meetings do not always need to take place face-to-face has created new freedoms and flexibilities for meeting organisers and attendees alike. But for the minute takers, this shift has created a whole new set of challenges and problems. Age-old best practice such as positioning yourself next to the Chair, using eye contact to get clarity on what’s been said, and being able to gently and unobtrusively ask for clarification on a point, has suddenly become ineffective.

The tough news for minute takers is that there are some new skills to learn in order to perform in this new world. The good news is that these skills are not hard, and a few changes in approach can make the difference between success and failure when taking minutes in virtual meetings.

As an experienced minute-taker, it’s vital to learn how virtual meetings impact the taking of minutes, so that you can be sure that the important records you’re keeping are accurate, appropriate, and fit for purpose.

Course Objectives

On this course you will:

  • Use the right technology in the right way to make your job as easy as possible.
  • Work with the Chair to get the participants to behave in a way which helps you.
  • Develop your self-confidence to interrupt where you need to as you create your notes or minutes.
  • Distribute the minutes effectively and receive sign-off on their accuracy, even when you’re working virtually.

Course Agenda

  • Planning for success: working with the Chair to create the right virtual environment.
  • The role of the minute-taker before, during and after the virtual meeting.
  • Creating minutes in a virtual environment.
  • Virtual minute taking practice.

Duration for “Bite Size” Session: 2 hours

Note: This course can also be run as a longer 2 x 3 hours programme for people who have never taken minutes before.
